Week 1: Financial Close-Out
- Collect all outstanding payments. This is your last window of leverage. Once the season's over and everyone scatters, collecting money becomes nearly impossible.
- Finalize the budget. Total income. Total expenses. Itemized list of every expenditure. Use our budget tracker template.
- Share the financial summary with all parents. Transparency here is crucial. "Total collected: $X. Total spent: $Y. Remaining balance: $Z. Here's the full breakdown." Include the plan for any remaining balance (carry forward, refund, or donate).
- Close or transfer the team account. If you're not returning, ensure the account is properly transferred to the next manager or closed out with a final statement.
Week 2: Equipment & Admin
- Collect club-owned equipment. Set a deadline. Create a checklist. Mark who returned what. This is the only time you'll get these uniforms back — after this, they become pajamas.
- Inventory what the team owns. Canopies, coolers, first aid kits, cones, pinnies. Document condition and location. The next manager will thank you.
- Update player records. Current jersey numbers, sizes, medical info, emergency contacts. Even if most of this carries over, confirm it's accurate.
- Archive team communications. Export important threads, documents, spreadsheets. Don't let institutional knowledge disappear with the group chat.
Week 3: Feedback & Appreciation
- Send a season survey. Keep it short — 5 questions max. "What went well? What should change? Would you volunteer next season? Rate the overall experience 1-5. Anything else?" Anonymous responses get more honesty.
- Write thank-you messages. Thank the coach. Thank the parent volunteers. Thank the families who showed up consistently. Gratitude costs nothing and means everything.
- Recognize the kids. Whether it's a team party, individual awards, or just a heartfelt group text about how much the team grew — end on a high note.

Whether you're returning next season or passing the torch, create a handoff document:
- What worked well (systems, tools, vendors, policies)
- What didn't work (be honest — it helps the next person)
- Key contacts (club admin, hotel contacts, preferred restaurants, equipment vendors)
- Account access (team app logins, bank account info, email list)
- Season calendar notes (which tournaments were worth it, which weren't)
- Parent notes (who's a reliable volunteer, who needs extra communication, who's likely to step up)
Before you wrap up: Ask yourself — "Am I coming back?" If the answer is no, make sure the handoff is bulletproof. If the answer is "I need a break," take it. Burnout is real, and the team will survive without you for a season. Come back refreshed, not resentful.
